What is Send Word Now? |
 |
Send Word Now is a managed communications service that connects people instantly, anytime, anywhere, across all everyday devices cell phone, home phone, work phone, e-mail, pager, IM or text-messaging device with a single mouse click or phone call. Beyond simple notification, Send Word Now offers a suite of easy-to-use, customizable and secure group-synchronized communications services that can quickly bring groups of people together in everyday or emergency situations from an instant conference call to time-critical incident response and keep them in constant, real-time communication. Routine message, last-minute scheduling, or dire emergency, Send Word Now is the best way to reach everyone NOW. The Treo client allows you to initiate and manage notifications, and manage local contact data and groups. The client also collects and displays responses to inquiries and emergencies in real time, and allows you to bridge multiple people directly to conference calls. |

Does Send Word Now work during crises like blackouts? |
|
Yes. While there are no guarantees, Send Word Now is an "always up" system that does not depend on any one thing to run. For instance, Send Word Now ran 100% during the August 2003 regional blackout. Remember that while Send Word Now will be there, local conditions like loss of power may make it harder/impossible to deliver messages quickly via specific contact points. (If cell phone towers run out of power, Send Word Now cannot deliver a message to an affected cell phone.) |

How do I activate Send Word Now? |
|
Send Word Now can be activated in four ways:
• With your Treo smartphone, anywhere, anytime: Regular or QuickSend message.
• By web (go to http://www.sendwordnow.com): Regular or QuickSend message.
• Email: QuickSend message. (See the User Guide.)
• By phone (call the notification assistance 24 hours a day at 877-999-7363 for a live operatorextra charges may apply): Regular or QuickSend message.

How many contacts can I have in my Send Word Now account? |

What is the maximum number of web groups I can have? |

What is the difference between a local group and a web group? |
|
A local group is one you create on your Treo. It includes contacts you select from your contact list or whom you enter by hand. When you send to a local group, you can select any or all of its contacts to receive your message. A web group exists in your web account. You can see it from your Treo and send to all its recipients at once. If you log into your web account and send a message, you can send to any or all of the contacts in a web group the same way you send to some/all contacts in a local group. |

Can I move groups and contacts back and forth between my Treo and my web account? |
|
You can upload any local (Treo) groups you have created, and their contacts, to your web account. You can download (refresh) the names of your web groups to your Treo from the Groups tab. |

Why do I need to access the Send Word Now web site if the Send Word Now client is already installed on my Treo? |
|
There are a few reasons. First, if you choose, you can enter many groups and contacts on your web account without devoting space to them on your Treo. (You can still access such groups from your Treo to send messages.) Second, your Treo only retains 30 days of message history. Your web account keeps your entire activity history without expiring any of it. Third, while the Treo client provides an optimized way to send urgent messages from your phone, some enhanced/future features may be easier to use in the web interface or may not appear in your Treo client at all. Finally, there may be times when you can access the web, but you do not have service for your Treo. At those times, you can still send a message. |

What is the maximum number of contacts for each message? |
|
You can send to any or all of your contacts at the same time. |

After I Send a message, how quickly will recipients receive my message? |
|
Text/email messages are distributed immediately. Phone calls are typically received starting within seconds. Most messages are completely delivered within minutes. |

Can message recipients respond to me? |
|
Yes. You can use the Get Word Back option to specify up to five responses from which your message recipients can choose. They can select responses over the phone or by email. |

How can I see when messages and responses are delivered? |
|
This information is displayed in your Message History. |

How do I use Send Word Now to initiate a conference bridge? |
|
When you send a message from your Treo or from the web, you just need to check the box Bridge to Conference. Then your message recipients can be automatically connected to your conference call after hearing the message. |

Can I dial extensions with Send Word Now? |
|
Not at present. Different phone greeting systems have different ways of entering extensions. When listing a phone contact point for a person, always list a direct-dial number, preferably one belonging to just that person (as opposed to a general line). |

If the phone is busy for a person I send a message, does Send Word Now call back? |
|
Yes. If a phone is busy or does not answer, Send Word Now will retry periodically for up to an hour. |

Does Send Word Now leave voice mail if a machine answers? |
|

Can Send Word Now dial internationally? |
|
Yes. Extra charges apply. Please note that your free demonstration account is not enabled for international message delivery, even if your cell phone is.

How do I dial international numbers using Send Word Now? |
|
In order to dial international numbers using Send Word Now, you must create contacts with the international numbers on the Send Word Now web site and access those contacts via Web Groups. You cannot currently initiate calls to international numbers using local contacts on your Treo (although this feature will be available in the future).
When you enter international numbers into a contact on the Send Word Now site, you must separate the country code and the rest of the number.

Do I have to have international dialing enabled for my Treo to send messages internationally? |
|
No. Send Word Now does not use your phone to dial your place calls, either domestically or internationally.

Do I have all the features that come with the Send Word Now service? |
|
No. Using your Treo smartphone, you can activate Get Word Back (the polling/response feature) and conference bridging. Some additional functionality is available in your web account. Future offers may also bundle new/additional features, either through an updated Treo client, your web account, or both. |

What is the Send Word Now client for Treo? |
|
Send Word Now on the Treo gives you powerful group notification capabilities right in the palm of your hand.
With a few clicks, you can initiate both emails and phone calls to your list of desired contacts. You can also ask a question and get responses that you can track on the Treo as well as start an instant conference call.
It's easy to use. First, you specify which group of people you'd like to send a message to on the Groups List screen.
You can create your groups on your Treo or on the web.
Next you enter the text of your message. You can include response options for the Get Word Back functionality. You can also request that an instant conference call be set up for all your message recipients.
Once you're done sending, you can view information about the message about the message you've sent, including any responses that people have given.

Send Word Now on the Treo is supported on the Treo 600 and the Treo 650 line of smartphones.How do I use the Groups list screen? |
|
The Groups List lets you create and organize groups of people to send messages to.
You can create groups here such as 'Sales', 'My Team', 'Exec Team', etc. You can create the groups on your Treo or download groups that you create on the SendWordNow.com web site (aka web groups). Please note that you cannot edit the members of web groups on the Treo.
In the list, groups from the web site, like the MASTER group, are marked as 'web groups'.
Groups not marked as web groups are local groups that are created and edited locally on your Treo. To add a new local group tap the 'New Group' button and enter a name.
Next to each group you'll see the number of contacts in that group shown in parentheses.
To edit a local group, simply tap on the name of the group. This will display the members of the group. To compose a message to a local group, tap on the group and then on the compose button.
To compose a message to a web group simply tap on that group name.
To add or edit your web groups, go to www.sendwordnow.com.
To update your local list of web groups with any changes you've made on the web site, press the 'Refresh Web Groups' button.

How do I add new contacts? |
|
To add a new person to a local group, press the 'Add' button at the bottom of the Contacts screen.
You can choose to lookup the new person in your Palm Contacts by choosing 'Add from Contacts' or you can choose to enter the information manually by choosing 'Add Manually'.
When adding from Contacts, you can select an email address or phone number of the person you want to add. All of their information will be brought into the Send Word Now application.
You can delete extra email addresses and phone numbers if you don't want those included as part of your Send Word Now contact. This will not affect your core address book; only the contact listing in the Send Word Now application is affected.
If you add a new contact to Send Word Now and you already have a contact with some matching information, you'll be asked what you want to do. The Send Word Now client maintains its own list of contacts so that you can edit them independently of your core address book. This is a master list across all of your local groups.
If you've already entered the person into Send Word Now, choose 'Use Existing' if you want to use the information that's already in Send Word Now (if a contact is already in another local group and you want to add them to your current local group).
Choose 'Overwrite' to use new information you've just entered which also changes that information for the contact in any other local group they are a member of.
If you simply want to add a new copy of this contact, choose 'New'.
You can select which contacts you'd like to send a message to by checking and unchecking the check boxes.
Use the 'Check / Uncheck All' button to rapidly select and deselect users.
The checked users are the target recipients when you tap the compose button to send them a message.
You can edit a contact by tapping on their name.
You can edit the name of the group by pressing the 'Edit' button. You can also delete the group in the edit screen.

How do I compose a message? |
|
The message compose screen lets you specify the message that you want to send.
The Subject field is a reference for the message you will use when you are tracking it after it's sent.
The Message Body is the core information in the message which is spoken to the recipients via text-to-speech and sent in emails.
The Send To drop down selection allows you to specify where you want your message sent. If you select 'Voice Only', only calls will be made. If you select 'Text Only', only emails will be sent.
If you'd like to organize a voice conference with your message recipients, check Bridge to Conference. This allows all recipients to instantly jump into a conference call when they receive the message.
Voice recipients will be prompted to enter the voice conference when they answer the Send Word Now call. Email recipients will receive dial-in information.
Get Word Back allows you to specify some choices that your message recipients can choose from as a reply to your message.
To set your Get Word Back choices, push the box marked as '- Off -' and then set Get Word Back to 'On'.
You can specify up to 5 Get Word Back options and you will be able to see the responses that your recipients have given when you look at your message details.
To send the message, tap 'Send'. After sending the message through the Send Word Now service you will see the 'Sent Message' screen where you can track the results.

How do I view information about sent messages? |
|
The Message Details screen shows you details about the messages you've sent. You'll see the Message Details screen after you've sent a message.
You can also get to the Message Details screen from the Message History screen, which provides a list of all the messages you've sent from your Treo in the last 30 days.
The Message Details tab shows you information about the message you've sent, including time/date sent and number of recipients.
If you've requested a voice conference, you'll see voice conference dial-in information on this screen.
The number of Recipients is the total number of people who the message has been sent to.
The Results tab shows you information about the individual recipients of your message. Press the 'Refresh' button to get the latest results information.
You can filter Results information using the View drop-down. You can choose to see only the recipients who have selected a particular response option, or the recipients who have not responded, or all the recipients.
To view details about a recipient, tap on that recipient or use the 5-way navigator button to select them.

How can I send contacts from my Treo to the Send Word Now web site? |
|
If you've entered contacts locally on your Treo and you'd like them to be available on the Send Word Now website, choose Options -> Send Contacts from the drop-down menu and you can send up new or changed local contacts that you have added to the Send Word Now application. |

How do I change the sender information that appears to message recipients? |
|
If you want to specify exactly how your name and contact info will appear to your message recipients, choose Options -> Sender Info from the drop-down menu.
When you're composing a message, you can set the Sender Info just for that message by making sure 'Save as Default' is not checked.

How do I login with a different account or re-login? |
|
If you want to log in with a different account on your Treo, or you need to re-login, select Options -> Re-Login. You will see the Login screen where you can login again.
If you login to a different account, the local groups you have created will be available to you when you re-login again to the original account.

What is the minimum subscription commitment? |
|
Subscriptions are on a monthly cycle. Your service plan includes a monthly allowance of call minutes, an overage rate, and possibly special features. |

How much do I pay for international calls using Send Word Now? |
|

How are extra charges billed? |
|
Your registered credit card will be billed from time to time for overages, international calls, or other special services (such as use of the Notification Assistance Center). Such extra billings are separate from your regular monthly fee. |

Can I upgrade my Send Word Now service plan without penalty? |

Yes. Service plan upgrades are effective next billing cycle. |

You can view your statement and a complete call detail record online. Log into your web account, click the Administration button, and follow the link to My Billing Information. If none of the available information online satisfies your inquiry, please email billing@sendwordnow.com. |

Is my information confidential? |
|
Yes. Send Word Now never intentionally discloses confidential information to any third party unless required by law (e.g., in compliance with a subpoena or court order), or if we believe in good faith that such action is legally appropriate and necessary to protect and defend our rights. |

Is my information secure? |
|
Yes. All communications between your Treo or web browser and the Send Word Now infrastructure are encrypted using 128-bit SSL (Secure Socket Layer) encryption. This is the strongest level of encryption commercially available - the same used by other premier online providers.

What if I forget my password? |

You can have a reminder emailed automatically to you. Go to the Send Word Now login page on the web and click the Forgot Your Password? link. The password will be emailed immediately to your registered email address. |
